The Pennsylvania State University is seeking a candidate for an Administrative Support Assistant to provide support to the office staff and student leaders within the Greek community by serving as the first point of contact, in person and via phone. The successful candidate will be responsible for the following:
Greet customers, provide information and refer, as appropriate.
Screen and process routine telephone communications, mail and requests
Maintain general appearance of the office
Schedule and maintain calendar of appointments for Director and Associate Director
Aid in the planning and implementation of events and programs, such as leadership programming and training for members of the Greek community
Coordinate travel arrangements, make reservations, and reconcile expenses
Maintain files and databases; assemble and format data to create simple reports
Prepare documents, meeting materials, correspondence
Assist in maintaining chapter rosters, insurance certificates, academic releases, and other office forms
Assist with budget matters such as purchasing card transactions, reimbursements, purchase orders, etc.
Maintain confidential and sensitive information and materials
Compose and edit written communication
Maintain inventory and order/purchase office supplies; arrange for equipment-maintenance; process work orders for facilities repairs/needs
This position typically requires a High School diploma or higher plus 1 year of related experience or an equivalent combination of education and experience.
