Sr. Outreach & Recruitment Specialist

PURPOSE OF POSITION:
Under the direction of the Associate Dean of Student Success and Enrollment Management, the Senior Outreach and Recruitment Specialist will actively recruit for Extended Learning’s credit and non-credit programs. The incumbent will deliver frequent presentations at community colleges, colleges, universities, business settings as well as attend relevant outreach and recruitment events in order to reach a target audience of prospective students and inform them of CSUSM program offerings. The Senior Outreach and Recruitment Specialist will respond to inquiries about CSUSM program offerings, the university application and/or the registration process. Correspondence with students may be in the form of in written, phone, or text. The incumbent will develop and maintain strong relationships with community colleges, universities and businesses and coordinate efforts to implement recruitment strategies that lead to maintained and increased enrollments.

The Senior Outreach and Recruitment Specialist must possess excellent communication skills, both oral and written, and must be able to interact effectively with a diverse group of stakeholders (to include but not limited to internal/external faculty, staff, administrators, community leaders and business leaders). The incumbent must be goal-oriented, self-motivated, and effective at time management. The Senior Outreach and Recruitment Specialist will be required to make strong professional judgement recommendations in complex student situations to resolve application and registration obstacles and to consistently exercise good judgment while maintaining a delicate balance between student-centeredness and enrollment targets. The incumbent will collaborate with internal and external constituents which may include, but not limited to, student organizations, Greek life, social/cultural organizations, hospitals and business entities to disseminate CSUSM program offerings information. Responsible for rigorous assessment and evaluation to track performance and impact at all points of the recruitment and make adjustments to improve outcomes accordingly on an iterative basis throughout the year.

As an essential part of the EL team, the Senior Outreach and Recruitment Specialist is responsible for assisting inquiries, applicants and students in a professional and efficient manner, to adhere to all protocols in line with CSUSM and EL goals and values.

LIST OF TASKS FOR EACH MAJOR RESPONSIBILITY:
1. Outreach and Recruitment

a. Manages, coordinates, and actively participates in recruitment/outreach efforts.

b. Maintain regular and ongoing contact with a diverse group of stakeholders, to include but not limited to internal/external faculty, staff, administrators, community leaders and business leaders to ensure Extended Learning programs are well known.

c. Conduct frequent presentations in community colleges, universities and business settings and at relevant outreach and recruitment events in order to reach a target audience of prospective students and inform them of CSUSM program offerings.

d. Develop and maintain strong relationships with faculty and staff at school districts, community college, four-year institutions, etc. as well as with business entities in Southern California and beyond.

e. Coordinate efforts to implement strategies and assess outreach and recruitment efforts.

f. Assist prospective students with inquiries about the program and the college application/admission process, including referring and connecting students with campus resources.

g. Analyze and evaluate outreach sessions and other recruitment efforts and make recommendations to the Associate Dean of Student Success and Enrollment Management and/or Extended Learning Leadership.

h. Develop, implement, and facilitate information sessions as appropriate.

i. Develop and implement a comprehensive strategy for successful recruitment efforts based on findings and best practices with the goal to increase applicants, enrollment deposits and ultimate enrollment at CSUSM.

j. Initiate and assist in the research, development, and evaluation of student recruitment strategies, including the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations in developing and implementing strategies and activities to support student enrollment.

k. Leverages the CRM system to track and communicate information to students or about students throughout the various application and admission cycles.

l. Create, analyze, and evaluate outreach and recruitment efforts and provide data for review in developing and implementing strategies for meeting enrollment goals and enhancing processes.

m. Analyze and review existing and proposed policies, practices and procedures and recommend changes, or develop full revisions as appropriate; conduct studies and prepare reports with recommendations based on results.

n. Regularly generate and analyze data/reports.

o. Maintain a collaborative environment with others including internal and external constituents. Show courtesy and respect towards others and promote a positive, service oriented collegial work environment.

2. Administrative Support

a. Updates, monitors and maintains the outreach calendars.

b. Makes travel arrangements and process timely/appropriate paperwork.

c. Responsible for creating, updating, and maintaining standard operating procedures and/or comparable resources.

d. Conducts periodic EL website review to ensure current information is posted and available for students.

e. Assists with the department budget through monthly reconciliation, monthly expenditures and annual projections.

f. Develops and/or updates system documentation such as end-user training guides (SOPs), report requests, and software specifications.

REQUIREMENTS OF POSITION:
1. List education and experience required

a. Education: Equivalent to graduation from a 4-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.

b. Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of 3-years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required.

c. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for 1-year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the 3-years of experience for positions with a major responsibility for professional career or personal counseling.

d. Valid California Driver’s License with automobile insurance

f. Working knowledge of Microsoft Office Suite with expertise in Microsoft Word and Excel.

g. Thorough knowledge of office methods, procedures and practices with emphasis on technology-based systems and procedures.

h. Demonstrated ability to use business mathematics and basic statistical techniques.

i. Demonstrated ability to run reports from a centralized CRM system and extrapolate and compare relevant data.

j. Ability to identify errors and discrepancies, research, and rectify problems.

k. Demonstrated ability to learn, interpret independently, and apply a variety of complex policies and procedures.

l. Ability to respond to routine inquiries and disseminate information.

m. Ability to establish and maintain a working relationship with others within and outside of the work group.

n. Must be flexible and able to handle multiple items in a fast-paced environment.

o. Demonstrated ability to coordinate and schedule meetings, conferences, seminars, events and travel arrangements.

p. Ability to maintain and develop filing systems (alpha, numeric, etc.).

q. Demonstrated ability to provide lead direction and training to staff and student assistants.

r. Demonstrated ability to work in a confidential environment, recognize sensitive matters, use sound judgment and work independently with minimal supervision, using initiative to begin and complete work.

s. Demonstrated ability to work as a team player on projects and to back up other support staff during peak periods or when other staff are away from the office.

t. Ability to ensure the coordination of departmental administrative activities and provide consistent role modeling and guidance to administrative staff in order to achieve department goals and responsibilities.

u. Demonstrated ability to organize multiple assignments, set priorities, meet deadlines; reschedule assignments based on shifting priorities, and following up on assignments with minimal direction.

v. Thorough and detailed knowledge of applicable university infrastructure, policies and procedures.

w. Must be willing to participate in training to keep skills current and for professional development pertaining to this position.

x. Demonstrated skill using the internet for research and information collecting, as well as placing orders and setting reservations, to assist with department program needs.

3. List machines, tools, equipment, and motor vehicles used in the performance of the duties

a. PC computer, Windows operating system, copy machines, Laser printers, scanner, multi-line telephone, general office tools.

b. Software – MS Office Suite and Outlook for email. Familiar with using Excel and/or database systems.

4. Unique working conditions

a. Regular work schedule for this position is Monday through Friday 8am to 5pm. Advanced notice of regularly scheduled and assigned work hours will be provided.

b. May need to work some evenings and/or weekends.

c. Must be able to travel to outreach and recruitment locations at the Southern CA counties but not limited to only Southern CA counties.

d. Multifaceted and fast-paced work environment involving high-levels of student contact.

5. Other Employment Requirements

a. This position is subject to a background check including, but not limited to, employment verification, education verification, reference checks and criminal record checks. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

b. This position is required to complete the CSU’s Discrimination Harassment Prevention Program for Supervisors and/or Leads.

c. Must participate in required campus trainings including, but not limited to, Information Security Awareness Training and CSU’s Sexual Misconduct Prevention Program.
