HERFF JONES, Order Specialist – Indianapolis, IN
Your Opportunity:
The Herff Jones Customer Service team is looking for an Order Specialist to join our team in Indianapolis, IN.
This is a Regular Fulltime position with benefit eligibility including, medical, dental, vision, life, 401(k), paid time off, and additional voluntary benefits.
Typical working hours are Monday through Friday 8am – 5:00pm. Saturday or Sunday hours maybe needed or required during peak season.
Here’s How You’ll Make an Impact:
The Order Specialist is responsible for timely and accurately entering contracts and text submission into Oracle System as well as reporting, creating spreadsheets, importing data and provide full back up to data entry functions for High School and College Announcements. This position takes a critical thinker with strong basic math skills and the ability to type efficiently and accurately. A strong focus on attention to detail and a balance of priorities will be key to operating successfully in the role.
What We Want You to Accomplish:
First 30 Days and on:
Be in complete learning mode gaining knowledge from job aids and SOP (standard operating procedures).
Input student information into Oracle.
Check each order for completion and math errors.
Rate of accuracy at 95% or better after 2 weeks of training with full audit from trainer.
Rate of accuracy at 99% after 4 weeks of full review.
What You’ll Be Doing On A Daily Basis:
Daily review and entry of high school and college announcement contracts.
Key in information on the student order form into the system.
Process text submission and pricing.
Prepare weekly/monthly reports.
Prepare all data entry back up support for entering orders from Access.
Assist with DOP and expedited functions as needed throughout season.
Support Data Entry department.
Other tasks and projects completed as assigned.
What You’ll Bring to the Table:
Highschool or GED required.
Previous success in a data entry or similar role preferred.
Proven success to effectively communicate (listening, writing and verbal).
INTERMEDIATE skills with Microsoft Office (Excel) and learning new systems/technology with understanding some work is processed manually.
Exceptional attention to detail.
Ability to operate PC systems (Word, Oracle, Order Manager) as well as follow manual processes such as filing.
Strong math skills with the ability to work with a calculator.
Physical Requirements:
Daily activity includes but is not limited to:
Reading, communication, lifting, carrying, standing, sitting, walking, grasping, reaching.
Use of a step ladder to retrieve customer files as needed.
Being able to sit for long periods of time.
Ability to lift/move up to 25lbs.
Look at a computer for long periods of time.
Ability to work alone in a quite environment.
