The Administrative Assistant for Student Life provides logistical support to staff and programs in the following Student Affairs offices: Student Leadership & Involvement, Student Activities, Greek Life and Counseling & Wellness.
Job Duties and Responsibilities:
Serve as a helpful and hospitable receptionist for visitors to the Student Life suite.
Provide support with financial processes, purchases and account management. This includes pulling reports, processing purchase orders, check requests, requisitions, honorariums, reimbursements, deposits, vendor payments, departmental transfers and event fees.
Manage and/or extract data from campus databases as requested by professional staff (ex. grade checks, conduct checks, fee charges, rosters, contact information, etc.).
Supervise student employees. This involves ensuring compliance with federal guidelines, assisting with hiring, managing job performance, verifying FWS status, maintaining a functional work schedule, and proper use of TimeClock Plus.
Assist professional staff and student leaders with details for Student Life sponsored events and programs. These details may include but are not limited to, reserving space, securing staff and equipment for set up and clean up, ordering tables & chairs, processing contracts, greeting guests, purchasing supplies, overseeing printed materials, ordering meals, and event evaluation.
Maintain a shared calendar of events for Student Life offices.
Manage shared office space and functions. This includes, but is not limited to mail collection and distribution, copier maintenance, shared office supplies inventory, and reporting facility concerns/repairs and submitting work orders.
Assist with Student Life involvement in Orientation and other admissions events.
Answer calls and emails, providing information or appropriate redirection to other staff.
Review and edit printed or posted materials related to Student Life offices.
Assist professional staff with administrative services related to conferences, travel, staff searches, transitions and training.
Other duties as assigned.
Required Qualifications:
- Either, high school education and a minimum of 3 years’ experience OR Bachlor’s degree and minimum of 1 year experience
- Basic computer literacy and accounting skills
- Competent in Microsoft Office (Word, Publisher, Excel, Power Point)
- Professional and personable communication skills
Preferred Qualifications:
- Work experience in a university context
- Proficiency in campus software (Banner, Argos, Spaces, Maxient, etc.)
- Highly organized, attention to details, assertive problem solver and reliable
