The Office of Housing Facilities & Security Systems exists to ensure our students’ residential environment is a catalyst for and a supplement to, rather than a distraction from, their education. The Office of Housing Facilities oversees the operating conditions, safety, security, comfort, accessibility, repair, improvement, and upgrade of student housing on campus. The Housing Facilities staff are liaisons between the university and students and families regarding the condition of residence halls and Greek chapter houses. Housing Facilities also has responsibility for on-campus faculty apartments, staff apartments, and emergency housing. In close coordination with Campus Planning and Plant Operations, Housing Facilities coordinates the everyday maintenance and repair of our facilities.

Duties and Responsibilities
Assist the Director of Housing Facilities with the following functions:
Leadership and Oversight
Lead the Housing Facilities office, including recruiting, hiring, and training professional staff.
Supervise professional staff providing clear performance expectations, effective and on-going feedback, regular and annual evaluations, and professional development opportunities to ensure staff understand expectations and are successful in fulfilling their job functions.
Verify employee timesheets for accuracy and compliance with Vanderbilt policies and procedures.
Finance
Provide financial oversight for the Housing Facilities office, including the preparation and management of relevant budgets to ensure proper stewardship of university resources.
Assess and monitor facility repairs to ensure cost effectiveness; establish criteria for repair versus replacement of facilities.
Create, implement, and maintain department operations and facility renewal budgets. Forecast and plan facility improvements.
Maintain fiscal responsibility and monitor expenditures to ensure compliance with statutory obligations, budgets, and guidelines for housing facilities.
Maintenance
Oversee and ensure that all housing facilities are maintained in a clean, safe, and secure condition. Frequently walk-through residential facilities with AMS’s inspecting cleanliness, function, and evaluating furniture wear.
Monitor campus emergencies that affect housing facilities, including equipment breakdowns, malfunctions, and alarm calls.
Manage renovation and maintenance projects by staff and/or independent contractors and engineers. Convey expectations to consultants and contractors performing facilities work in housing facilities.
Plan, develop, and prioritize projects and weekly work plans. Develop reports that evaluate staff productivity, work order status, and work projects.
Ensure compliance with applicable building and safety codes.
Direct the development of standards for selection of finishes and furnishings to be installed in housing facilities.
Purchase supplies and equipment in compliance with university purchasing guidelines.
Propose projects related to residence halls and Greek houses
Work with vendors of various products to generate quotes for procurement
Work in conjunction with Campus Planning & Construction on projects to specify desirable scopes, timelines, materials, functions, and features
Other
Participate in division wide events as needed (Move-In Day, Rites of Spring, Diverse ‘Dores Day, MLK Day, etc.) to support colleagues and ensure these events run smoothly
Demonstrate a willingness to support colleagues across the division in order to encourage the implementation or fulfillment of divisional goals and strategic priorities
Maintain flexibility to work after-hours and/or weekends as required
Other duties and responsibilities as assigned
Supervisory Relationships
This position does have supervisory responsibility for six (6) Area Maintenance Supervisors. This position reports administratively and functionally to the Director of Housing Facilities and Security Systems.
Qualifications
Bachelor’s degree and five (5) years of experience OR equivalent education and experience from which comparable knowledge and skills can be acquired
Valid driver’s License is necessary
Blueprint reading experience is preferred
Some experience or understanding of commercial/industrial building systems is desired
Knowledge of required tools and equipment for maintenance purposes is desired
Some experience with interior design or the ability to select colors and finishes is desired
Experience with different types of technology regarding mechanical systems is necessary
Working knowledge of Microsoft Office (Excel, Word, Outlook, Windows, and Power Point), Microsoft Teams, Adobe PDF viewer, file sharing, and standard office equipment is desired
Ability to push, pull, lift, and carry at least 50 pounds is necessary
Ability to bend, stoop, reach or stand for extended periods of time is necessary
Experience leading a team and providing effective management to a diverse staff, ensuring that they are being encouraged, challenged, motivated, developing professionally and sustaining a high level of performance is necessary
