Scope of Responsibilities

Leads the University Center Activities and Events department. Oversees implementation and coordinated operations across division of student affairs space usage, ensures coordination and clear programmatic oversight for the Campus Center complex and several non-residential campus facilities including the Bryan Center, Brodhead Center, Page Auditorium, Flowers Building, Bryan Center Plaza, Penn Pavilion, Rubinstein Art Center, Arts Annex, East Campus Coffeehouse and the Graduate and Professional Student House. Fosters and manages relationships with students, faculty, staff, alumni, and vendors. Works in collaboration with key campus partners including Duke University Stores, Facilities Management, Duke Police, DukeCard, University Athletics, Alumni Affairs and the Schools and Colleges of the University. Responsible for establishing a strategic direction for a comprehensive university campus activities and event support program that complements the missions and priorities of the University and the Division of Student Affairs.

Duties %

In consultation with university stakeholders, implement and refine operations and policies governing the Campus Center complex and associated facilities. Ensure units are achieving programmatic and financial goals and objectives for comprehensive array of conferences, university and student affairs events, venue and facilities operations and event support services. Continually assess and evaluate the day-to-day operations and programming efforts to ensure effective service delivery. Serve as Campus Life representative on non-residential renovation and new construction projects as required; resp onsible for safety and security of the facility, furnishings, equipment, guests and employees

Design and seek opportunities to improve and develop space reservations and space utilization; create policies for on-campus and off-campus rentals including 3rd parties; partner directly with students to understand space needs. I dentify and resolve immediate operational issues in the buildings and satellite facilities.

Ensure smooth implementation of emergency management protocols and serve on the University Emergency Management Steering Committee; develop and refine emergency management processes for Campus Life spaces to ensure business continuity.

Oversees use of multipurpose Campus Center spaces to ensure they are used to maximal benefit in creation of vibrant student social life. In consultation with key stakeholders, develop and implement general policies/procedures, training, programmatic assessment and evaluation, resource stewardship, technology integration, risk management and security for all student related, non-residential, social and student organization facilities. Provide planning and oversight of facilities support activities. Liaise with the Finance and Administration team to effectively manage Campus Life FF&E and associated budgets to ensure financial resources are used efficiently in service of these goals.

Support Assistant Vice President of Student Affairs for Strategic Engagement, Executive Director of Dining, and Executive Director of Finance and Administration on special projects including partnering with parking services, facilities management, dining, and other stakeholders to ensure effective maintenance and operations of Campus Center spaces and integration of divisional needs with University-wide space usage

Ensure administrative and advising support for over 500 student organizations, including Student Government Association (DSG), Student Programming Board (DUU), Greek Organization Boards, student-run recording studio, Student Publications Board and campus radio station, and on issues such as establishing new groups, recognition, risk management, contracting, advising, programming, organizational problem solving

Lead and serve on various division and university committees. Represent the University and Division of Student Affairs at state, regional, and national conferences. Display and practice an ongoing commitment to creating an accessible, supportive environment and an educational experience that recognizes diversity and cultural competence as integral components of academic and organizational excellence. Ensures the team incorporates anti-racist and anti-oppressive lens into work responsibilities and processes. Responsible for staying current with trends, best practices, professional literature and advances in the field. Integrate information and knowledge gained into department practices and planning.

Joins the other Campus Life departments in providing leadership in the development of collaborative projects, programs and services that support the university and divisional missions.

General Qualifications

Master’s degree in a relevant field required. Minimum seven years relevant work experience demonstrating progressive responsibilities in areas related to oversight and management of student activities, facilities and financial management, conferences and special events and/or other auxiliary operations.

Minimum Qualifications

Education

Master’s Degree in a relevant field required.

Experience

Minimum seven years related work experience including progressively responsible in a higher education environment.
