Assignment Description

The Trans Adriatic Pipeline (TAP) is part of the Southern Gas Corridor, transporting natural gas to Europe from the Shah Deniz II field in Azerbaijan. TAP is a Transmission System Operator (TSO) and an Independent Transmission Operator (ITO), providing capacity to shippers interested in transporting gas in a safe, reliable and efficient manner. TAP works to national and international safety and operational standards.

Connecting with the Trans Anatolian Pipeline at the Greek-Turkish border, TAP crosses Northern Greece, Albania and the Adriatic Sea before coming ashore in Southern Italy to connect to the Italian natural gas network.

Matrix Reporting line is directly to the Technical and Asset Integrity Manager, the Document Control Specialist is responsible for the Document Control process for small projects and the project close out activities across all locations, and the interface, support, collaboration and handover to Operations Document Control. The role will cover all types of documentation generated in TAP project and knowledge/access to legacy documents on PIMS. The role is accountable for the documents’ governance, control, audit, guidance and assurance of consistency with chosen templates.

Qualifications Required

University degree in Engineering, ICT, Data Processing & Management, Economics, Science, Business Administration, Finance, Law or other related discipline or equivalent professional experience

Promoting a diligent Document Management culture within the TAP organisation

Act in line with a custodian’s mindset of document control policy, procedures and guidelines for electronic documentation and hard copy documentation held in archives in TAP’s project facilities across the TAP organisation

Provide methodological and technical support to end users

Use of and make recommendations to the use of the Corporate Document Management System and supporting processes as per TAP Quality Management System and ISO 9001 certification

Train end users on the document management processes and the document control tools used in TAP

Support the management of the ICT platforms and tools used for document management both in terms of managing access rights and maintenance activities with the software provider(s)

Support the maintenance and update of the document library with Code and Standards, Policies & Procedures, Organisational documents and other applicable corporate documentation

Continuously review relevant EDMS (Electronic Data Management System) to ensure that they satisfy Company needs and governing Document Control procedures and to identify any efficiency improvement opportunities.

Monitor the security, accessibility, traceability and proper distribution of Corporate and Operations documentation and correspondence to ensure that they are being properly implemented by end users.

Monitor that project documents go through a documented and approved review-and-approval process as relevant. Documents can be, in Project, Operations, Emergency policies, PDFs of drawings, user manuals, pictures, videos etc., and in Corporate, HR policies, GT&Cs, Commercial documents etc.

Participate in all available activities to continuously improve Document Control knowledge, system and process

Organise, maintain and update all folders with documents pertaining the individual Department

Monitor that Departments follow document management policies and guidelines and the documents’ review process

Instill the culture that quality is everyone’s business not Document Control. To that effect perform random quality checks to monitor that Departments are following guidelines and rules defined by document management policies and procedures

Monitor that hard copy archives are managed and maintained in each TAP location by concerned Departments as per document control policies and procedures

Prepare Management Reports as requested by the Leadership Team

Define and agree performance KPIs for the Document Control function, with the Line Manager. Publish performance KPI reports periodically as agreed with the Line

Ensure consistency and adherence with chosen templates

IT proficiency, including good proficiency in MS Office applications such as Word, Excel, PowerPoint, etc.

Solid experience in the management of EDMS, gained in any industry, with a preference for Oil & Energy, Heavy Industry or Pharmaceuticals, Experience in PIMS EDMS and/or SharePoint will be an added advantage

Location The support can be remote or a local in Greece (Athens) or Albania (Tirana).
