HERFF JONES, Order Entry/Error Reporting Representative – Warwick, RI

YOUR OPPORTUNITY:
The Herff Jones Operations team, based in Warwick, RI is looking for a Data Entry & Error Report Representative to join our team.

HERE’S HOW YOU’LL MAKE AN IMPACT:
Reporting to the Customer Service Manager, you will be responsible for processing rings receipts from Sales Partners and insuring the completeness, timeliness and correctness of orders from the mail table through Data Processing.

But don’t worry, we would never ask an employee to take on an assignment they didn’t already have the right skill sets they needed to succeed. As we see it for right now, however, here are the challenges that we want you to tackle:

  • Enters Service Contracts into Oracle and updates existing service contract when the new/revised info is received from the Customer Service Rep or Schedule B from Customer Service Manager.
  • Verifies that tooling is available. If not available, inform assigned Customer Service Representative.
  • Pulls Zip Sets to match orders on the Error & Default report.
  • Pulls PO to match PO on Daily Fallout log. Fixes PO as necessary and then validates PO.
  • Keeps a daily log of errors, error messages and responses from CSR and Tooling Dept.
  • Changes all orders that can be corrected via the computer terminal and neatly note the changes on the Zip Set.
  • Routes all orders that requires a salesman or customer contact back through Customer Service.
  • Records all corrections made on the daily Error & Default Report. Files and holds for 12 months.
  • Corrects all problems on Error and Default Reports and ensures that no orders are on the error report for more than 10 working days.
  • Knows all hazardous material used in the area and the appropriate action to be taken in the event of exposure.

WHAT YOU’LL BRING TO THE TABLE:

  • High school diploma or equivalent required.
  • Ability to read and write in English is required.
  • Strong communication skills are required.
  • Strong organizational skills, keen attention to detail, and ability to multi-task and prioritize.
  • Must be able to work overtime and on Saturdays during busy seasons.
  • Ability to establish priorities and work independently.
  • Ability to work well with people having different ethnic, social, or educational backgrounds; understand the cultural differences of different groups.
  • Must be experienced in typing, using a calculator, using a copier machine plus other basic clerical skill (Alpha + Numeric Filing).
  • Must be familiar with Microsoft Outlook, Word, and Excel.
  • Must be able to do all tasks in a safe and timely manner.
