POSITION SUMMARY:

The Coordinator, MICE Events is responsible for supporting the operational setup & dismantling of events across all venues and coordinating and implementing all aspects of the company’s Security and Health & Safety policies, ensuring its compliance with all relevant legislation.

PRIMARY RESPONSIBILITIES:

  • Ensure a safe workplace environment (Event Venues) without risk to health
  • Ensure that all Health & Safety policies, procedures, rules, and regulations are adhered to and are communicated
  • Ensure that all third parties and sub-contractors comply with the Health & Safety standards and regulations, including Work Permits
  • Ensure that all agreed action points are completed within deadlines
  • Keep up to date with all MICE Team members of relevant events
  • Participate in weekly meetings when required to report on relevant matters
  • Liaise with suppliers, organisers, and subcontractors
  • Adhere to all company policies and procedures
  • Report accidents, injuries and unsafe work conditions to superiors and relevant departments
  • Report any safety violations, suspicious behaviour, or incidents to the appropriate supervisor or Security personnel
  • Monitor contractor whereabouts to ensure adherence to safety and security protocols. Notify Security for assistance if contractors fail to comply with instructions
  • Ensure contractors adhere to all house rules, including no smoking on the property and no use of staff break rooms or other restricted areas. Report non-compliance to Security for assistance
  • Escort contractors/vendors post-task, back to the staff entry point and inform Security when their work has concluded
  • Ensure safe systems of work are implemented
  • Maintain good relationships with organisers and subcontractors in order to get the best service possible
  • Perform other reasonable job duties as assigned by superiors
  • Be familiar with the premises’ safety and emergency procedures to guide contractors appropriately
  • Ensure all emergency access & egress routes and doors remain free and accessible during contractor or vendor activities
  • Report any changes following site observations before and after the events
  • Ensure event logistics coordination with Supply Chain, Property Services, Entertainment and Transportation Department
  • From time to time, management may change certain tasks based on synergies due to business requirements and operational changes.

QUALIFICATIONS:

Experience:

  • At least 2 years working experience in a similar capacity at a 5-star hotel/resort or large commercial property, industry building.
  • Health and Safety related work experience

Education:

  • Diploma in Electrical, Building Services, Mechanical or other rated disciplines, or equivalent professional training
  • NEBOSH General or Construction Certificate
  • Candidates without related certificates but with solid experience will also be considered

Skills/Competencies:

  • Ability to make sound decisions and perform other duties as and when required last-minute and at time of an emergency
  • Excellent interpersonal/presentation skills are required to deal effectively with all levels of staffs, contractors, suppliers, and vendors.
  • Hands-on and possess good problem-solving skills and attention to details
  • Independent and able to work with minimal supervision
  • Ability to work under pressure and meet deadlines
  • Ability to work flexible shifts, including overnight weekends and holiday on rotation basis
  • Good health, physically fit and excellence in personal grooming and presentation
  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint, etc.)

JOB REQUIREMENTS:

  • Ability to work flexible shifts, including overnight weekends and holidays on rotation basis
  • Flexible and accommodating as this role may occasionally require working beyond regular hours.

KEY PERFORMANCE INDICATORS:

  • Health & Safety requirements are strictly adhered to before, during and after the event
  • Health & Safety Checklists and Work Permits are completed in a timely and correct manner
  • Event set-up and dismantling timelines are met, while adhering to Security and Health & Safety requirements
  • Events are successfully and safely completed
