Job Description

We are seeking an experienced Property Assistant to oversee and maintain a private real estate portfolio based in Limassol. This is a hands-on role combining day-to-day property operations with high-touch coordination and personalized support for the shareholder.

The successful candidate will serve as a trusted point of contact, ensuring that all properties are well-maintained, efficiently managed, and operating to the highest standards, while coordinating with external service providers, contractors, and advisors where required.

  • Log and monitor maintenance requests and follow up with contractors to ensure timely completion of works.
  • Coordinate routine maintenance, repairs, inspections, and service visits.
  • Maintain clear and accurate records, including contracts, warranties, maintenance logs, and property documentation.
  • Organise and coordinate meetings, property inspections, AGM logistics, and related documentation.
  • Communicate effectively with internal teams and external service providers, ensuring smooth information flow.
  • Support the Operation Manager with correspondence, reports, presentations, and basic budgeting/tracking documents.
  • Assist with monitoring property-related expenses and maintaining budget summaries.
  • Manage incoming and outgoing mail related to the property.
  • Maintain organized and structured filing systems (physical and electronic).
  • Track service agreements and ensure compliance with agreed terms and timelines.
  • Assist in obtaining quotations, comparing proposals, and coordinating vendor appointments.
  • Ensure all regulatory, insurance, and compliance documentation is kept up to date.

Qualifications

  • Previous experience in property administration, facilities coordination, or similar role
  • Strong vendor management and negotiation skills
  • Excellent organizational and communication skills
  • Fluent in Greek and English
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • High level of discretion and professionalism
  • Ability to work independently and take initiative
