Program Coordinators (PCs) are student facing and work closely with the Deans and Directors in the Division of Student Affairs in several different capacities.
Programmatic responsibilities depend on the particular PC’s assignment, but generally require creativity and flexibility in program design, implementation, assessment and/or support services related to the assigned focus area . Often PCs are not managing programs themselves, but are supporting students in designing and implementing the programs. Student support responsibilities include mentoring, training, advising and/or supervising student leaders; helping students solve problems; and responding appropriately to challenges and/or crises. Formal and informal interaction includes frequent in-person and digital communication with students in order to help them meet their goals, responding to questions from parents, faculty or staff, and meeting with students who have interpersonal problems, policy violations, psychological issues, or other concerns in order to counsel, mediate resolutions, or set expectations for future behavior. PCs may also have responsibilities relating to incident response and crisis management . These may include triaging student concerns and referring them to the appropriate personnel/resources; analyzing, synthesizing, and reporting case data; assisting with various clearance and criminal disclosure processes; assisting Deans or other senior leadership with administrative matters; or completing special projects and assignments as needed.
Qualifications:
Candidates must have the following required knowledge areas, skills and abilities:
Bachelor’s degree and minimum of 1-2 years of relevant experience, or Master’s degree or equivalent in Counseling, Higher Education, Student Affairs Administration, or other discipline. Relevant student experience may be considered.

The Program Coordinator positions included in this search will support the Office of the Dean of Students focusing in Fraternity and Sorority Life and Student Engagement/student organization support, and in the central Office of the Dean of Students (ODOS) . All PCs in Student Engagement and Inclusion (SEI) are part of the broader SEI team, supporting students’ involvement across a wide range of functional areas, including multicultural student services, public service, leadership, and student organizational support. Significant cross-functional teamwork is expected and serves to strengthen both student and professional experiences.
The Program Coordinator in Fraternity and Sorority Life in the Office of the Dean of Students programmatic responsibilities include program design, implementation, assessmentand support services for students and chapters that are part of the four councils: the Inter-Fraternity, Inter-Sorority, National Pan-Hellenic, and Multicultural Greek Councils . Particular emphasis will be on leadership development, risk management, responsible student self-governance, and inclusion/equity within the Greek community. Student support responsibilities include those enumerated for all Program Coordinators, though primary focus will be on members of the Greek community across all four councils. In addition to student interaction, stakeholders requiring resourcing and support may include chapter advisors, alumni, community, parents and headquarters partners. Finally, the PC’s incident response responsibilities may include assisting with incident management and support in the wake of student incidents or crises, especially those with particular impact upon the Greek community.
Additional preferred qualifications for this position include:
Recent experience as a member of a Greek organization affiliated with any of the four governing councils;
Experience with organization(s) affiliated with all four Greek councils in some capacity;
Awareness of specific trends and issues affecting fraternity and sorority communities, including legal issues, programming, and national councils.
The Program Coordinators in Student Engagement will facilitate programs and processes designed to help students create community and develop a sense of belonging at UVA through involvement in the student experience. Programmatic responsibilities include design, delivery and assessment of relevant workshops, trainings, and resources for individual and organizational development and growth. Interaction will include support for student events, including meeting with students and student groups, scheduling spaces, and assisting with execution. Student support responsibilities include engagement with the University’s over 600 student run organizations, including providing leadership training and support for conducting meetings, creating budgets, and other organizational leadership and support strategies; working with student leaders and student organizations to assist with development and implementation of student-led programs and services; and working with students and staff toward successful deployment and implementation of a new student organization management system, Hoos Involved. Finally, the PC’s incident response responsibilities may include assisting with student support and continuity of University operations in the event of an emergency and/or related institutional closure.
Additional preferred qualifications for this position include:
Familiarity with digital tools for relevant communication and outreach to student populations;
Familiarity with leadership literature, including leadership theory and styles;
Strong background in student engagement/student activities;
Prior work with the Presence student engagement software package
The Program Coordinator/Case Manager (central ODOS) will serve in the Office of the Dean of Students (ODOS) as a Case Manager. Programmatic responsibilities include providing oversight and tracking within the incident management database; assisting with follow up and case closure for Associate and Assistant Deans; and helping to ensure consistency and clarity of case submissions by members of the broader on-call team. In ODOS, the PC’s student support responsibilities include daily office support for walk-ins/calls (student, staff, and various stakeholders) to Peabody Hall. The PC will triage student issues; manage referrals, inquiries and documentation/follow up; assign issues to Assistant or Associate Deans as appropriate; and document meetings, referrals, and dean assignments in the incident management database. Finally the PC’s incident response support responsibilities include analyzing, synthesizing, and reporting case data for Clery purposes as well as for planning and prevention; assistance with various clearance and criminal disclosure processes sometimes involving meeting with students and managing disciplinary referrals as needed; and assistance to the Deans with other administrative matters, such as preparation of documentation for Honor or Judiciary cases processed through the alternative administrative process or other special projects and assignments as needed. The PC will not serve on the “Dean On-Call” rotation.
