The Administrative Assistant provides administrative support to the Office of Living, Learning & Leadership and works in an active, student-centered setting. The department’s central mission is student connection and interaction. Therefore, this individual must be committed to the growth and development of students and possess the ability and flexibility to work in a busy office with high volumes of student traffic, phone calls, and activity.
In addition to dealing with specific programmatic areas noted above, the Administrative Assistant must have a good working knowledge of all aspects of university student life. The successful candidate must exercise good judgment in handling sensitive and confidential communications and records. They must also possess strong communication skills, excel at multitasking, work with many different constituencies, maintain professionalism in stressful situations, and take initiative in responding to questions and concerns. This position reports directly to the Associate Dean of Students for Living, Learning & Leadership.
Job Duties:
Assume responsibility for initial response to telephones and visitors for the Office of Living, Learning & Leadership. Answer phone and manage student, parent, alumni, and national Greek headquarter questions and concerns. Handle all calls with professionalism, especially when dealing with sensitive information.
Provides administrative and clerical support to the five person department including the Associate Dean of Living, Learning & Leadership, Fraternity & Sorority Affairs, and the Director of First-year Experience/Orientation.
Maintains calendar for the associate dean and shared calendar for the office.
Monitors department expenses and budgets, providing regular reports as requested.
Reconciles P-card expenses for all professional staff. Communicate with and maintain a positive relationship with the Finance Office.
Processes expenses related to orientation and first year programs such as large vendor purchase orders and payments, student reimbursements, and speaker payments. Assists in processing contracts for speakers and events.
Processes fraternity and sorority billing such as chapter dues and fines, recruitment fees, GMT payments, and philanthropy revenue.
Assists in the process of fraternity meal plan billing and charge adjustments.
Manages fraternity and sorority chapter rosters within the Banner system.
Assists with fraternity and sorority recruitment, council meetings, and events by inputting data, reserving spaces, ordering supplies and catering, and providing support as needed.
Assists with recurring guest speaker contracts and arranging accommodations.
Assists with the approval process of Greek social events in the management system including weekly preparation of registration rosters and risk reduction materials.
Assists with chapter house closing preparations such as house walkthroughs, processing Peer Advisor honorariums, distributing and collecting master keys at conclusion of each semester.
Responds to parents and students as they contact the office with questions pertaining to orientation, move-in day, fraternity and sorority recruitment, and billing.
Assist in the coordination and scheduling for all major events, programs and training sessions that occur in the office.
Serve as a liaison to web development and IT; maintaining and updating the department’s websites, Moodle sites, Banner information, and myBucknell data.
Consistently demonstrate a high level of adaptability, confidentiality, professionalism and integrity.
Perform other duties as assigned.
Requires occasional weekend and after hours work.
Minimum Qualifications:
High school diploma.
Three years of progressively more responsible administrative positions.
Proficiency with Microsoft Office and Google drive, with the ability to learn new programs including Banner, Workday and website maintenance.
Demonstrated ability to take initiative and use good judgment.
Demonstrated ability to work both independently and as a member of a team.
Commitment to the growth and development of students.
Strong written and verbal communication, interpersonal, organizational, time-management skills.
Preferred Qualifications:
Bachelor’s degree preferred. Experience working in a college or university setting
