HERFF JONES, Customer Service Coordinator – Indianapolis, IN
Your Opportunity:
The Herff Jones Customer Experience team is looking for a Billing Specialist to join our College Ring team in Indianapolis, IN.
This is a Regular Fulltime position with benefit eligibility including, medical, dental, vision, life, 401(k), paid time off, and additional voluntary benefits.
Typical working hours are Monday through Friday from 8 am to 5 pm
Some overtime may be needed and/or required during peak season which may include Saturdays.
Here’s How You’ll Make an Impact:
The Billing Specialist is responsible for being the processor and subject matter expert for billing of our college ring orders. In this role, the Billing Specialist will work closely with our manufacturing team and College Customer Service Team to ensure timely completion of all billing tasks, including communication, work process, and workflow. A strong focus on supporting the team with billing accuracy, clear communications, SLAs and a balance of priorities will be key to operating successfully in the role.
What We Want You to Accomplish:
First 180 Days:
- Learn and understand product details and tools for successful ring order billing
First Year
- Learn and understand the billing process and account intricacies required
- Provide on time billing for all college ring orders
First 120 Days:
- Establish strong relationships partners and anticipate their needs.
- Demonstrate ability to navigate customer service systems independently and fulfill customer service agreements to support sales partners win new business
- Become subject matter expert for college ring billing
What You’ll Be Doing On A Daily Basis:
- Process accurate and timely billing for all college ring orders received for shipment
- Process necessary research for partner commission questions
- Comprehend and maintain Oracle billing tables for billing purposes
- Maintain accurate and current records on all special billing circumstances
- Monitor and audit orders with payment plan specialist to ensure payment prior to shipments.
- Perform all billing functions related to new orders, cancellations, reorders, and remakes proficiently
- Other projects and tasks as needed
What You’ll Bring to the Table:
- Highschool Diploma or GED required
- Secondary education preferred
- Proven success to effectively communicate (listening, writing and verbal) across all levels of an organization resulting to meet product delivery deadlines.
- Previous success in a Billing function and Customer Service role working with multiple accounts with strong problem solving and organization.
- Moderate skills with Microsoft Office (specifically Excel) and learning new systems/technology with understanding some work is processed manually.
- Demonstrated success managing multiple processes and tasks at a time with strong organizational and detail skill.
Physical Requirements
- Daily activity includes but is not limited to reading, communication, lifting, carrying, sitting, grasping, reaching
- Use of a step ladder to retrieve customer files as needed
- Being able to sit for long periods of time
- Ability to look at a computer for extended periods of time
- Ability to work alone in a quite environment
