Senior Event Coordinator

The event operations department is responsible for planning, coordinating and executing all events.

You will become the integral cog between functional lines including sales, client success, finance and operations to ensure our travelers are set to have a smooth experience and the best trip of their collegiate life. This is an exciting time to join the Pollen team as part of the formal operations function as we expand our collegiate operations across North America.

In your first 12 months, you will:
Master the process and tools used to manage formal event operations for Pollen Travel.

Review and sign contracts for vendors and traveler groups – making changes / addendums to contracts as necessary.

Sourcing Venues, transportation, and hotels when adding after the original contract is signed.

Create and send operations bundle to travelers.

Rooming list templates and deadlines, payment deadlines, bus itinerary templates and deadlines, incidentals forms to be completed.

Communicate with clients and vendors, before, during, and after the event(s) to ensure proper planning, execution, and satisfaction on all sides.

Maintain client and vendor relationships, strengthening our partnerships for future opportunities.

Execute events in destination including loading and unloading buses, hotel check-in, venue set up and event execution.
